Coaches Information

 Dear Coaches,

Congratulations on qualifying for the 2011 West Virginia State Cross Country Championship. Cabell Midland is serving as your host and we will do everything possible to make this a great experience for you, your athletes and spectators.

Please make note of the following:

1.    Friday the course opens at 1:30pm and closes at 6:00pm.

2.    On Friday, we will have a mixer from 4:00pm-6:00pm in the small gymnasium. The gymnasium will be decorated with the top 10 runners since 2005 totaling 240 pictures in all. Also, we will have healthy snacks and drinks for the runners.

3.    Coaches may pick up their team packets in the small gymnasium on Friday and the concession stand in “Tent City” on Saturday.

4.    Your packets will contain up to 10 numbers if you’re team qualified, but only 7 runners may compete. However, if you have a substitution, you need to select the alternate’s number in your packet that will be racing on Saturday. This spares the coaches the hassle of coming to the Red Building and making changes.

5.    Sometime on Friday evening or early Saturday morning after the Regionals, a list of all State Qualifiers will be posted on the State Meet site and runwv for coaches to view. If one of your athletes names are misspelled, you must email mlucas1215@gmail.com before Saturday (October 22nd) at noon to have correct spelling in State Meet Program.

6.    All Head coaches must email a list of their coaching staff and school name to wvstatemeet@gmail.com before Tuesday (October 25th). Your coaching staff must be recognized by the WVSSAC as a head, assistant, or volunteer Cross Country Coach. We will add your coaches to the team list, so they can get in free at the state meet. We will check them off the list at the gate when they arrive. They must be on this list to get in free or otherwise they will have to pay the admission fee.

7.    Teams qualifying get all members in free along with their coaches. Individual qualifiers get in free along with their coaches. If an individual qualifies, their teammates must pay the admission fee. Parent drivers of your team or etc are not considered part of your coaching staff and must pay the admission fee. Remember, only Cross Country Coaches recognized by the WVSSAC are considered part of your coaching staff and all others must pay the admission fee.

8.    Admission fee is Adults $8.00 and Students $7.00. Make sure your fans know this before they arrive at Cabell Midland. Prices are set by the WVSSAC and there is NO profit made on the State Meet.

9.    Make note of all restricted areas. The football field and finish line areas are clearly marked and only authorized personnel are allowed in these areas. No coaches or spectators will be permitted in these areas.

10. The state meet schedule is on the front page of the website.

11. If your athlete or team will be receiving an award, make sure they are wearing something that represents your school. Also, top 10 boys & girls individuals will meet 10 minutes prior to the start of the awards ceremony at the end of the gymnasium, so they can line up for the "Parade of Champions."

12. Team drop off area is behind the school at the "Tent City." You can drop off your athletes, tents and etc. then go park.

13. The coaches meeting for AAA & AA-A will be in the Hospitality room located at the football field at the facility building. You must bring your sportsmanship form and turn in at the meeting (form in your team packet). Also, help yourself to the food & drinks. Feel free to come in the Hospitality Room at anytime during the meet on Saturday to grab a bite and quench your thirst.

14. If your want your picture in the state meet program, it must be emailed to Butch Powell (butch.powell@wvssac.org) before Monday (October 24th) by noon.
